Sending encrypted email in Outlook on the desktop/web

 Objective

Email encryption encodes the content of email messages, including attachments, to protect potentially sensitive information from being read by anyone other than the intended recipients. Email can be encrypted for both K-State and external recipients.

 Procedure

Outlook Web App

  1. Sign in to the Outlook Web App.
  2. Create your email message as usual.
  3. Encrypt the message by doing one of the following:
    a.  Click the Options Tab and the top, then find the Encrypt bottom on the bar below:
    Once you select Encrypt, a dialog will open, and you will need to choose Encrypt or any of the other various permission options.
    The following label will then appear on top of the Send email as you edit it:
    b.  Put one of the following keywords at the beginning of the subject line followed by a colon:
    • PCI:
    • PHI:
    • confidential:
    • secure:
    • encrypt:

Outlook on the desktop

  1. Open Outlook on your computer.
  2. Create an email.
  3. Encrypt the message by doing one of the following:
    a.  Click the Options tab and then click the Encrypt button.

    Once you select Encrypt, a message box might appear temporarily.

    You will then see the encryption message at the top of the email you are formatting to send


    b.  Put one of the following keywords at the beginning of the subject line followed by a colon:
    • PCI:
    • PHI:
    • confidential:
    • secure:
    • encrypt:
