The common issues with TEVAL and how to handle them.

I cannot access TEVAL.

  • Make sure they are a teacher in an active Canvas course.

 

I cannot make a TEVAL for a course.

  • Make sure the section they are making a TEVAL for has more than 1 student in it.
  • Make sure they are a Teacher/TA in that course. If not it needs to be addressed by the existing Teacher in that course or the department that the course belong to.
  • Make sure the term of that course in Canvas course settings is the current semester.
  • It's possible they are using a manually created course to teach, changing the semester from Default Semester to the appropriate term will address it. If you are not sure send it to Business Systems. The URL of the course in question as well as all the sections that needs TEVAL needs to be included in the ticket.

 

I teach an 8-week course and want to administer a TEVAL now

  • TEVALs should be available to setup and offer for 8 week courses.  If they are not, first check if grades are posted in KSIS. This can be done by a manager or by making a request to the Registrar. Having the grades posted to KSIS is a requirement to offer a TEVAL.  If they still cannot offer a TEVAL, you need to confirm TEVAL dates in TEVAL Admin are set properly for open/release for the current semester. They should be set, but it could be early in the semester and they have not been set yet by TLC.

 

I need to make a TEVAL for a course section that has 2 students or less

  • Are there other similar courses where they can combine the student population and do a TEVAL as a whole? (this is the case for a lot of Music 1 on 1 courses). If so manually create a new course with the name that reflect this group (“Music 6xx Fall 2023”), add the group of students to the course and publish it. You as the consultant will need to change that course’s subaccount to the appropriate department and the term to the term they are trying to make a TEVAL for. They should then be able to create a TEVAL from that course.
  • Assign to Teaching & Learning Center if you or the instructor are unsure and wants to double check the correct procedures.
  • Examples and reasons for manually created TEVAL courses:
    1. I'm having a problem creating a TEVAL for music lesson courses . . . I have the usual problem of a few course numbers with enrollments of less than 2 students.  I've customized my own Canvas course but for some reason when I set up the TEVAL, my customized Canvas course doesn't show up on my course listing.
      1. These manual courses needs to have the semester set to the current on and the sub-account set to their department by Canvas admin staff.
    2. I have setup a TEVAL evaluation for my class. I have 2 sections. A section with 3 students that I setup successfully, and a section with 1 student. As you may be aware, I was not able to setup the Teval for 1 student. Is there a way to incorporate the 1 student into the Teval with 3 students.
      1. If the TEVAL is still open, the student can be manually added to the larger section and will be able to access the TEVAL.  If the TEVAL has already closed, they must contact the TLC to offer a late TEVAL manually.

 

I am team teaching a course with two other instructors.  How do TEVALs work for a team-taught class?  Will each instructor create a TEVAL or does only 1 TEVAL work for a course? 

  • TEVAL is set up so each instructor in the course can offer a TEVAL.  It is not required that each does but the pairing in TEVAL is between each instructor and the course.  So if there is more than on instructor, they can each offer their own TEVAL.

 

Teacher or GTA reports an error accessing TEVAL or reports for previous TEVALs or gets an Access Denied error message

  • Most common issue is that a security requirement of TEVAL requires the person needs to be a teacher in at least 1 active Canvas course for the current semester to be able to access TEVAL generally.  Once they are added to a current term roster, they will be able to access TEVAL and see previous reports.

I want to view my TEVAL reports for 8 week courses or the TLC is asking for an exception to view TEVAL reports early

  • TEVAL reports don’t come out until end of the semester but sometimes 8 week course people want to view them earlier.  In those cases this is done using the Admin Report Filters tool. https://teval.k-state.edu/Teval/jsf/admin/EvalFilter.jsf
    1. Set Instructor or course name filter, current term, and search for instructor by name
    2. Click the Grant Exception button
    3. Can confirm by masquerading as them in Canvas and viewing TEVAL in the course section. 

 

I get a "LTI Session Error" when I access TEVAL.

 

I need to offer a late TEVAL or I missed the TEVAL offering deadline.

  • Per the Teaching and Learning Center (TLC) - Late TEVALs are not allowed through Canvas, nor do we offer paper TEVALS. Faculty who miss the TEVAL deadline are supplied a Qualtrics version of the TEVAL for distribution. They should contact the TLC to use the Qualtrics form.

 

I need a TEVAL extended. (Teacher/TA)

  • Teacher/TA would request for a TEVAL offering to be extended so more students get the opportunity to respond.
  • Verify the caller identity.
  • Record details of the extension in a ticket. Which course, which section, what is the new end date they want to extend to? Please make sure the new end date conforms to the TEVAL Offer Dates, we cannot extend a TEVAL offering outside those dates. Then assign to Design and DevOps.

 

I need a TEVAL response entry deleted or extended. (Student)

  • Student would request a TEVAL response entry to be deleted (if they filled out the TEVAL wrong) or extended (if they did not finish).
  • Verify the caller identity.
  • Record details of the deletion/extension in a ticket. Which course, which section, which teacher/TA’s TEVAL and what they would like to do? Then assign to Design and DevOps.

 

I have a policy question concerning TEVAL.

  • Jot down the question and assign to Teaching & Learning Center.
